Current Opening for an Office Assistant in the Whole Woman Program
Hours: 40 hours weekly
Accountability: Whole Woman Manager
Outcomes:
This position is responsible for the following outcomes:
- Administrative tasks for Whole Woman are completed with efficiency and organization.
- WW volunteers and guests are valued, informed, and understand expectations.
- Applicants of WW are documented, interviewed, and processed with excellence.
- Communication with staff and residents is prioritized and timely.
Primary Job Functions:
● Answer phone calls and greet visitors.
● Oversee the scheduling of residential event calendars; including weekly Driver Errand.
● Assist residents of Whole Woman with becoming acclimated to the House Leadership Guidelines and responsibilities.
● Follow guidelines for grace-based ministry, holding residents accountable and leading them to self-evaluations when necessary.
● Assist with the administering of drug tests as needed; report test results in Apricot.
● Coordinate weekly room searches for WW.
● Provide transportation to and from scheduled activities and events for Whole Woman.
● Review privilege authorization slips for residents in addition to the weekend visitation and outing forms; including driver errand sheet.
● Monitor phone calls and computer time for Whole Woman.
● Adhere to medication management protocol and procedures and order medication when needed
● Assist with family/visitor orientation.
● Serve as Volunteer Liaison for WW and conduct volunteer training and yearly reviews. Record monthly volunteer hours
● Provide detailed day time shift review from case managers regarding conversations, and/or incidents and submit the review in a timely manner.
● Enter in new applicants into shared database and report monthly number of applicants to WW Manager, Assistant Manager, and Program Director
● Keeping hard copy files maintained and organized
Qualifications:
● Associates Degree in Human Services preferred
● High level of emotional intelligence and spiritual maturity.
● General knowledge of trauma, substance use, and codependency.
● Able to delegate tasks and provide detailed descriptions of ministry expectations.
● Strong organizational abilities.
● Strong written and oral communication skills.
● Computer skills with Word, Excel, and Google products.
● Evangelical Christian commitment and lifestyle consistent with Safe Harbor’s Statement of Faith and governing values.
